Welcome to Tryst Retreats CIC Rates, Options and Facilities for 2026 Events

 

Each retreat or workshop will have its own needs and we can work with you to provide a tailored quote.

Staff are on call during your stay to resolve any infrastructure issues that might arise allowing you to concentrate on supporting your group.

Our aim is to offer group accommodation for up to 20 people using 7 ground floor, twin, en-suite rooms by May 2026 and an additional 6 first floor, single rooms with shared facilities by Autumn 2026.

Neutral Clean Considerate Connecting Space

We are a smoke, vape, pet and recreational drug free space.

Please see our Wi-Fi offering below.

We ask that guests remove their outdoor shoes at the entrance hall before stepping into the homely space.

Staff live on site and we have a quiet time policy from 9pm to 8am.

Our Pricing Model

Our vision is a socially just world and we appreciate that finacial resources are unevenly spread. With the aim to address finacial imbalnce we stratify our prices by offering discounts to different groups. One of our values is sustainability. Our business model covers our costs and any profit generated will go to social causes which includes providing a bursary fund facilitating access to events for those where finance is an obstacle to attending.

Non-residential Day Events 

We have a flexible offering for hiring the group space on a self-catering basis to best suit your needs – see catering options below. Hiring times are generally from 10am to 4pm. Additional hours either side of these times is charged pro-rata. We may have mindful guests staying onsite but they will not have use of the hall and lobby unless they are part of your event.

The hire includes grounds, group room, lounges, dining facilities and a range of teas and coffee at the refreshment bar.

Our rates for hiring the group space are:

Hire of the space 10am – 4pm = £375.

Additional time either side of the above is charged pro rata @ £62.50 per hour capped @ £200.

Discounts

If you book 2 events in a 12 month rolling period you attract a discount of 10%.

If you book 3+ events in a 12 month rolling period you attract a discount of 20%.

We offer an additional discount of 10% to Charities, SCIO’s and CIC’s.

Participants may arrive up to 30 mins before the agreed start time to allow a settling in and to orientate themselves. Facilitators may arrive up to 1 hour before to set up. We ask that the venue is vacated by participants within 30 mins of the agreed end time of your event.

Two weeks out from your event we check in with you to confirm:

  • a copy of your schedule so that the running of the centre can continue in a way that is mindful of your presence
  • confirmation of how you would like to use the space – this is so we can schedule the required resource to get the space ready for you and your group

If you are using a catering company from our panel they will check in with you to confirm::

  • number of attendees
  • details of food allergies within your group
  • meal times

 

Residential Events

Our minimum stay for residential events is 2 nights.The space is available for participants from 4pm of your day of arrival until 2pm on your day of departure. Additional time either side may be available depending on the schedule and is charged pro-rata. We ask that guests check out of their rooms by 10am.

We will be ready to hand over the space to facilitators 2 hours before participants arrive to set up. We ask that the venue is vacated and handed back by 3pm on departure.

Our rates for hiring the group space and accommodation are:

  • Group room, lounge, dining, teas/coffee 24/7 during your stay & grounds @ £375 per 24 hours
  • 7 x  ground floor twin bedrooms (two with accessible facilities) @ £665 per night
  • 6 x first floor single rooms with shared facilities @ £390 per night

Discounts

If your booking is for 3+ nights you will attract a discount of 10% on the group space hire

We offer an additional discount of 10% to Charities, SCIO’s and CIC’s.

You have the option of asking us to sell ground floor twin rooms you are unable to fill. If we sell them, the income we receive will be deducted from your amount payable.

We do not have the necessary facilities, insurance or local authority permissions for onsite camping. Guests can purchase camping permits from the National Park Authority to camp offsite in the immediate vicinity – Loch Venachar for instance is a gorgeous place to do so.

Terms of Hire

Please take a look at our terms of hire here to see if they are agreeable to you. If they are not we invite you into dialogue to reach those are mutually agreeable.

Catering

Your participants are welcome to bring their own meal on a leave no trace basis for non-residential events. We have a guest fridge it can be stored in and there is a microwave to warm it up if needed. Our kitchen does not allow for individual guests cooking.

You can bring your own cook or we partner with cooks who specialise in considerate retreat menus. They pay a rental for use of the kitchen currently @ £55 per day and we can contract with you or them directly.

It is a vegetarian/vegan kitchen. Meat/fish is not cooked on the premises. We do not operate a nut free kitchen.

If you bring your own cook they will have sole responsibility for the safe and smooth operation of the kitchen. They will have a food hygiene certificate and they will hand the kitchen back on a “leave no trace” basis. We will brief your nominated cook before your event and will introduce them to the kitchen when they arrive.

We are building a panel of cooks we can recommend. You will contract with them separately.

They cater for food allergies rather than preferences. They do not operate a nut free kitchen. The panel of cooks will be happy to quote for any special diets that are event specific.

They offer meals at the following times and all will clear 1 hour after the start time:

Breakfast is served between 08.00 – 08.30.

Lunch can be served at any time between 12.00 and 13.00.

Dinner can be served any time between  18.00 – 18.30.

Securing your booking and payment terms

Our preferred method of payment is by BACS transfer – it is the most cost effective.

We ask that all damages are notified to us and paid for.

Non-residential

We ask for a reservation fee of £200 per day booked to secure the dates in the diary. This fee will be deducted from your total amount payable.

Your balance is payable 2 weeks before the event.

Residential

To secure the event date in the diary we ask for a deposit of 25% of your booking followed by a 2nd 25% payment 12 weeks out, a 3rd 25% payment 8 weeks out and a final 25% payment 4 weeks out. The staged payments allow you to spread your/our risk. The payments are non-refundable.

Next Years Rates

Our rates for 2027 will be lifted by the prevailing rate of inflation on 1 October 2026.

Public liability

We have public liability insurance. We expect that you have practitioner public liability insurance appropriate to the event you are facilitating.

Facilities

Fire -You are welcome to bring your own materials to burn a fire at the fire pit. We ask that you take full responsibility for it. We can recommend Feeds & Stoves in Callander for firewood supplies.

Folding camping chairs – we have 20 available for your outdoor use.

Electric Car Charging Points – These are planned to come on-line spring 2027.

Wi-fi – we have wi-fi available to a facilitator to access online content for their event. Coming to a rural retreat centre is an opportunity for a digital detox and to deepen connection with the Self, other visitors and the beautiful natural environment that we are part of. As such you will not find a television here and wi-fi is available to guests on a limited basis . If guests need to use a digital device we ask that they do so in their room and away from communal areas. Wi-Fi is switched off automatically during “quiet time” 9pm to 8am.

Water – we have our own private supply of delicious ground water which is tested annually.

Board Games – there is a pile of games to encourage guests to connect

Data projector – we have available a data projector for either a cinema experience or to communicate information to your group via your laptop.

Flip chart stand – we have a flip chart stand for you to hang up your flip charts. You BYO flip chart pads.

Group Room – this can be emptied out/arranged differently to suit your group and the activities you have planned. We can set up with conference chairs or floor chairs. We have meditation cushions.

Dining – we have dining for up to 20 people on 3 tables.

Marketing your event

Our experience tells us that it is beneficial to start marketing your event at least 6 months out for a weekend event. The longer the duration of your event the more lead in time is required e.g. for a 3 -5 day event participants may need to book annual leave from work.

We have an image gallery to support your marketing

You are likely to have a following via social media and/or mailing list from which you will attract the bulk of your participants.

As a “top up”, we have a facebook page “Trossachs Tryst Callander” and Instagram “Trossachs Tryst” we can advertise your event on. Please do not rely on this to get your numbers.

Offering an “Early bird” rate can often get an early commitment form participants or “Bring a friend” rate can help to build numbers and ease discomfort some people might have sharing a room.

We ask that all facilitators who work with us offer a bursary fund within their pricing so that individuals who have the resource could fund those that have less of it.

We are very keen to review your experience with us after the event so that we can learn what worked well and what would need to be adjusted for future events.
