Cherry Tree Lodge Retreat Centre Privacy Policy
At Cherry Tree Lodge (CTL) we work with personal information from our customers, volunteers and suppliers and we promise to respect your privacy. We aim for transparency in the way we conduct our business and in the way we use personal information. We only collect, use and save personal information that is relevant to the information and services you/we request.
What information do we hold and who do we share it with?
For the newsletter
If you have opted in to our newsletter, “The Quarterly Blether”, your name, email address and opt in status are stored in our newsletter distribution software, currently MailChimp, as part of a mailing list. We use the information to let you know about events and news at CTL. There is an unsubscribe link at the bottom of each newsletter If you decide to opt out in the future.
For workshops attendees, retreatants and B&B guests
If you have signed up to one of the workshops or retreats or are staying with us as a B&B guest, we collect basic event administration information – your name, email address, contact number, gender, food allergies and emergency contact and number. We may store this information in our event administration and booking software, currently Cognito Forms and Freetobook respectively. We use it to administer events held at CTL and if need be, to contact you efficiently about an event you are attending or would like to attend, if on a wait list.
Some workshops and retreats we hold here may require specific information surrounding your well-being such as current/historical physical/psychological conditions, prescribed medication you are taking and your doctor’s details if appropriate. This is for your own safety and for that of other participants. This information is stored in our event administration software, currently Cognito Forms and is shared only between the retreat centre event administrators and workshop/retreat facilitator/s. It is deleted from Cognito Forms 4 weeks after the event.
We do not store your bank account or payment card details on our system. We input your details directly into our payment provider’s secure and PCI compliant system – currently Worldpay.
For suppliers of goods and services
If you are a supplier of goods and services to CTL we hold your name, email and contact number on our system and your bank account details on our bank’s payment system.
If you are a volunteer or on a residential exchange we hold your name, email, contact number, specific information surrounding your well-being such as current/historical physical/psychological conditions, prescribed medication you are taking, emergency contact details and any references if appropriate. This information is only shared between retreat centre management and used to support your well-being and that of our guests.
